What should students do if a referee cannot submit a recommendation on time?

If a referee (the person writing your recommendation letter) cannot submit their recommendation on time, here are the steps students should take:

1. Communicate Immediately:
Contact your referee as soon as possible to check if there’s any way they can submit the recommendation before the deadline. Sometimes a gentle reminder can help.

2. Inform the University:
Email the admissions office of the university you’re applying to and explain the situation. Most universities understand that delays can happen and may grant a short extension or provide guidance.

3. Check University Policy:
Some universities allow recommendations to arrive a few days after the application deadline, as long as your part of the application was submitted on time. Verify this on the university's official website or by contacting their admissions office.

4. Consider an Alternate Referee:
If the original referee cannot submit the recommendation at all, ask another suitable referee (professor, employer, or mentor who knows you well academically or professionally) to write and submit a letter as soon as possible.

5. Update Your Application Portal:
If your application portal allows, update your referee’s details with the new recommender’s information and re-send the invitation.

6. Keep Records:
Save all correspondence with referees and the university regarding the delay, so you have proof of your proactive communication.

Tip:
Start requesting recommendation letters well in advance (at least 4-6 weeks before the deadline) to avoid last-minute issues.
